Billing, plans & credits

Flow type: Agency · Product: StudyHQ Portal (team)

Everything about your plan and credits lives on the Billing page. Only organisation admins can see it.

Where: organisation menu → Billing.

Your credits

The meter at the top shows how many credits you’ve been given this cycle, how many you’ve used, and how many remain.

To add extra credits (a top-up):

1

Add credits

Click Add credits and pick one of the credit packs — the price per credit is shown on each.

2

Pay

Complete the payment in the window that opens.

3

Done

The balance updates by itself once the payment goes through — no need to refresh.

Choosing or changing your plan

1

Pick a billing cycle

Use the Monthly | Yearly switch. A monthly plan renews every month; a yearly plan renews once a year.

2

Compare the plans

Each card lists the price, the credits per cycle, and what the plan includes — assessment types, counselling, advanced counselling.

3

Choose plan

Click Choose plan and complete the payment. The page waits and updates itself when the new plan becomes active.

Plan changes happen in place: any unused credits from the old plan expire, and the new plan’s credits are added immediately.

How credits work

Credits are the currency of your plan:

  • Your plan gives you a bundle of credits each cycle; top-ups add more whenever you need them.
  • Each student’s assessment uses credits once — deducted when they start. The stream-selection assessment (class 10 & below), the course-recommendation assessment (classes 11–12), and the Learning Assessment (the grades 7–10 study-skills battery) are separate items on your plan, each with its own allowance.
  • Counselling activities use credits per the What a pathway costs list (below).
  • Credits belong to your current subscription — when you change plans, unused credits expire and the new plan’s credits arrive immediately.

If your project serves both younger and older students, make sure your plan includes both assessment types. A student whose assessment type isn’t on your plan simply can’t start — they’re asked to contact your organisation. Students are never shown anything about plans, credits, or payments.

What a pathway costs

The Billing page lists how many credits each activity costs — each type of assessment and each counselling session. Use it to estimate how far your credits will go.

Where your credits went

Your credit history, newest first — every top-up, renewal, expiry, and per-student deduction, in plain words. Use Newer / Older to page through, or Export CSV to download it.

Invoices

Your recent invoices, each with a download link.

If you don’t have a plan yet

Every project page shows a “No active plan” notice at the top. As an organisation admin, it includes a Go to billing → link that brings you straight here. Until a plan is active, students can’t be added.

If your plan changes

Moving to a plan without counselling loses nothing:

  • All session history and notes stay visible to everyone, including counsellors.
  • Buttons that would change things — booking, availability, completing sessions, writing notes — appear greyed out with a note that the current plan doesn’t include counselling.
  • The assessment side keeps working as normal.
  • Move back to a counselling plan and everything switches back on, exactly as it was.
