Where: open your project → sidebar → Sessions.

The Sessions page exists when your plan includes counselling. Admins see the whole project’s calendar; counsellors see their own.

Switch between Month, Day, and List views at the top.

Everything on this page belongs to this project only — the counsellor filter shows this project’s counsellors, and sessions from other projects never appear here.


Setting availability (counsellors)

Add your free time

Add the time ranges you’re free, as a weekly pattern.

Save

Your ranges are automatically divided into bookable slots of your project’s session length (set in Project settings).

Availability can only be set for future dates — past days and today are read-only. New counsellors should set availability first, so sessions can be booked with them.


Booking a session

Click Schedule new session, pick a student and an open slot, and confirm.

  • The session dropdown shows your project’s configured session names (for example Report interpretation, Parent discussion). Sessions run in order, so the booking attaches to the student’s next session automatically.
  • The student is emailed the details, and the session lands on the calendar with a meeting link — the counsellor is the meeting organiser.
  • Students can also book their own sessions into a counsellor’s open slots from Bixa.

Running a session

On the day, open the session from the calendar, dashboard, or List view, and use Join meeting to enter the call. Afterwards, mark the outcome:

Click any session to open its own page: who’s attending, when, its status, the lifecycle buttons, and your session notes.

If your plan includes advanced counselling, completed sessions also carry:

On a basic counselling plan these panels don’t appear — session details and your own notes are always there.

Renamed a session type in settings? Names update everywhere at once — including sessions that were already booked.
