Cases

Flow type: Institution · Product: StudyHQ Portal (team)

A case is the working record for one student in the project. The Students page is the people-first view; the Cases page is the same population seen as records, geared toward tracking conversion.

What a case is

When you add a student, a case opens for them automatically at the Invited stage. The case is what your team works and what carries the student through to Enrolled or Rejected.

In the funnel flow there’s no manual case assignment. A student added by a partner is automatically that partner’s case; admins and members see all cases.

The cases list

Open a project and go to Cases.

Filter by outcome

Chips for All · ★ Enrolled · Pending · Rejected.

Search

Find a case by student or partner name.

Export

Download the filtered list as CSV.

Each row shows the case ID, student, the partner who sourced them, status (an enrolment badge — a gold ★ for Enrolled), the last activity, and the created date. Click a row to open that student’s detail.

Use Pending to find assessed students who still need an enrolment decision, and ★ Enrolled to review your conversions.

From a case to a decision

A case moves through the funnel as the student progresses:

1

Invited → Assessing

The student opens their link and starts the assessment.

2

Assessed

The assessment is complete and a career report is available on the student’s Assessments tab.

3

Enrolled / Rejected

Your team records the outcome on the student’s Enrolment tab — with the final course (or, in a stream-selection project, the final stream). The case reaches its final stage and the funnel counts update. Recording decisions requires the plan’s enrolment grant; past decisions always stay visible.

You can close a case when it’s done, and reopen it later if needed.
