Institution Flow — Overview

Flow type: Institution · Project type: Assessment Funnel

This guide documents the B2B Institution flow. It spans two products: the StudyHQ Portal (where your team works) and Bixa, the student app (where students take the assessment and view their results).

The Institution flow lets a college or coaching institute run a structured assessment funnel: invite students, have them take a career-fit assessment, and convert assessed students into enrolments — with your team guiding each student along the way.

Each funnel project runs one assessment type: course recommendation (Grades 11–12 — which courses fit) or stream selection (Grades 8–10 — which stream fits). The whole project — the add-student form, the dashboard, and the enrolment decision — follows that mode.


The two products


Key concepts

Organisation

The institution itself — its Type is Institution.

Project

A funnel run inside the org — its type is Assessment Funnel.

Student

A person added to the project who takes the assessment.

Case

The working record for one student — what your team manages.

Assessment

The timed test, taken in Bixa — course recommendation (Grades 11–12) or stream selection (Grades 8–10), one per project.

Career report

The result generated once the assessment is complete.

Plan

Your subscription — what it grants (assessment type, enrolment) is what the project can do.

Credits

The currency of your plan — each assessment draws on your balance.

Enrolment

The funnel’s conversion outcome — recording decisions is granted by your plan.


Roles

org_adminsees everything in the organisation. Can create and manage projects, edit organisation settings, manage the team, and handle billing. Full access.

Admins and members see project-wide totals; a partner sees only the students they added. This applies consistently across dashboards, lists, and the project cards on the organisations page.


The funnel stages

Each student moves through these stages inside a funnel project:

Invited

The student has been added and (optionally) emailed an assessment link, but hasn’t started the test yet.

Assessing

The student has started the assessment.

Assessed

The student completed the assessment and a career report is available.

Enrolled

The student has been marked as enrolled — the funnel’s conversion outcome.

The project cards on the organisations page summarise this as Leads · Assessed · Enrolled.


End-to-end at a glance

Set up the funnel

Portal · team — create the institution and an Assessment funnel project.

Student takes the assessment

Bixa — the student opens the link and completes the timed assessment. Their stage moves Invited → Assessing.

Career report is generated

Bixa — on completion the student receives their career report, and their stage becomes Assessed.

Your team works the case

Portal · team — your team reviews the report, adds notes, and guides the student.

Record the enrolment decision

Portal · team — when the student enrols, record the decision and the final course (or stream) — the case reaches Enrolled, the funnel’s conversion outcome. Recording decisions requires the plan’s enrolment grant.

Add students whenever you like — the funnel and the project-card stats update live as each one moves from Invited to Enrolled.
